What this Policy Covers
This Encounter Collaborative privacy policy describes how we use and protect the personally identifiable information that you share with us. This information includes your email address, name, title and mailing address, etc., which enables us to identify you. This policy governs websites owned and operated by Encounter Collaborative. Our policy does not govern websites of other parties to which we may provide links, because Encounter is not responsible, and cannot control the privacy practices or content of those sites.

We do, however, greatly respect your privacy. When using our sites, you may get information, communicate with us, or link to other websites. While doing that, you may give us information that enables us to provide enhanced products or services to you and to personalize your experience on our website. To demonstrate our commitment to fair information practices, we have adopted leading communication industry privacy guidelines. Our Policies and Practices
We want to give you the comfort and confidence you need to fully participate in our online offerings so that we can better serve your needs.  Listed below are our policies and practices.

Profile Information

profile forms require customers to give us contact information such as name, pass code, company name and email address. Confirmation and welcome emails may be sent via email. Users may receive information on services, special promotions, and a newsletter. Encounter will not use any confidential information entered by our customers. Out of respect for the privacy of our users we present the option to not receive communications from Encounter. Please see our unsubscribe policies below.

We also automatically receive and record information on our server logs from your browser including your IP address, cookie information and the page you requested.

Encounter uses information for three general purposes: to customize the content you see, to fulfill your needs and requests for certain products and services, and to contact you about specials and new products.

Encounter routinely time-stamps and logs events (like features used, page visits, number of participants, length of meetings.) This data is used for accounting/billing purposes as well as for performance tuning and optimization of Encounter services.

Market Research

From time to time we may post some online surveys asking visitors for contact information such as name and email address. We use contact data from our surveys to notify customers of changes/additions to our service. This market research is provided voluntarily and used by Encounter to understand and respond to customer requirements, issues, and needs.

Security
We make every precaution to protect our customers' information on our corporate website and our product website.  We use secure technology, privacy protection controls, and restrictions on employee access in order to safeguard your personal information. When customers submit sensitive information via the website, the information is protected both online and off-line.

When we ask customers to enter sensitive information, it is protected with the best encryption software in the industry - SSL. We use industry-standard technology to keep your personal information as secure as possible.

Each and every Encounter employee servicing our products is obligated to abide by the Encounter privacy policy. Employees who violate our privacy policies are subject to disciplinary action, up to and including termination. Only authorized Encounter employees servicing Encounter are permitted to have access to your personal information and such access is limited by need.

Confidentiality

Encounter does not share or release personal information. Encounter will never willfully disclose personal information about its customers nor email addresses nor contact names to any outside parties without receiving written permission or unless ordered to do so by a court of law.

We do not disclose your private, online communications. Encounter honors the confidentiality of its members' private communications (i.e. email invitations, meeting schedules, attendee lists, questions and answers, and file uploads/downloads). However, what you publish to your Encounter service is available to those whom you authorize to see the information.

We protect the confidentiality of your Web meetings and its contents.
Encounter is aware that its services may be used to conduct meetings that may be private, or used to discuss highly confidential information. Encounter takes seriously the need to protect the confidentiality of the communications of its users. Encounter provides a number of ways, such as passwords, PIN’s, emailed URL’s and meeting keys, to restrict unauthorized access to users' confidential materials.

The meeting schedule, attendee lists, subject matter, and contents of any Web presentations, live or recorded, visual or audio, and any content uploaded to Encounter's servers are considered private to the purchaser of the event or conference center where such information was collected. Encounter employees and agents will not view these materials except as necessary to appropriately support the service. Any viewing of such content will be restricted to the select, authorized operations and technical staff that support the service. The information viewed will not be shared with any third party. The sole use of any information revealed would be to anticipate, diagnose, support or resolve any problems that might limit or disrupt the service. Encounter employees and agents will not act, trade or otherwise use such private information for any personal or commercial gain.

Our system automatically gathers information about the nature of your usage of our service. We do not share any of this data with outside companies. We monitor this data (number of attendees, duration and frequency of meetings, total number of meetings) in aggregate for service capacity planning purposes, and to understand how our customers as a group use the service, so that we can continuously improve the quality and reliability of our services overall.

Any meeting participant details or demographic information collected on the behalf of the purchaser of any Web conference or event, may be used by Encounter to authenticate the user and such user's rights to attend, present or organize a specific Web conference. Encounter will not use this information for any other purpose without the authorization of the organizer of the event.

Encounter occasionally sponsors free conferences, promotional offers, seminars, contests and events that may collect user identifiable information via their registration process. Meeting participants may be required to give us contact information such as name, email address, and demographics. Encounter will occasionally use this data to send additional information about our company and services.

We have one exception to this policy. We will release specific information about your account to law enforcement authorities or other government officials as we, at our sole discretion, believe is necessary, in connection with an investigation of any matter that is illegal or may expose Encounter to any liability.


Correction/Updating Personal Information:
If a customer's personally identifiable information changes (such as your phone number), we will endeavor to provide a way to correct or update that customer's personal data provided to us.

Unsubscribe
Customers who no longer wish to receive online communications or specific items from us may unsubscribe from receiving these communications. Each communication will have a way to unsubscribe from that list. Please carefully follow the instructions on the communication to ensure removal of your name from our lists. Our websites may contain links to other sites. Please be aware that Encounter is not responsible for the privacy practices of such other sites. We encourage our customers to be aware when they leave our site and to read the privacy statements of each and every website that collects personally identifiable information. Cookies
A cookie is a piece of data stored on the user's hard drive containing information about the user. We may use cookies to save information so you don't have to re-enter them each time you visit our site.

Log Files
We use IP addresses to analyze trends on our site, administer our site, help diagnose problems with our server, track customer's movement, gather broad demographic information for aggregate use and to keep track of how many people are using our site(s). We may from time-to-time aggregate our users' system information and share that with partners (whom are under confidentiality obligations), but in no case is an individual's specific system configuration revealed to third-parties.

Notification of Changes
If we decide to change our privacy policy, we will post those changes on our website so our customers are always aware of what information we collect, how we use it, and under circumstances, if any, we disclose it. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we would notify customers by way of an email.
